Executive Assistant to the Chancellor

-Support the overall operations of Chancellor’s Office, identify and recommend opportunities for improvement to existing processes and procedures
-Serve as key contact within the Chancellor’s Office for UMMS faculty, staff, students and external constituencies
-Manage Chancellor’s calendar; serve as liaison for the Chancellor
-Coordinate the scheduling of the Chancellor’s standing senior management meetings; assist with preparation and distribution of meeting materials; and implement follow-through on identified action items
-Coordinate and arrange special events/activities; provide administrative support to the Chancellor’s Office for special projects
-Maintain the Chancellor’s confidential records, files and data for historical and informational reference
-Research, collect and prepare briefings, background and other materials in preparation for the Chancellor’s meetings; assist with the production of daily briefing notebooks for the Chancellor’s use; update the Chancellor on pertinent information related to daily schedule; coordinate the dissemination of the Chancellor’s meeting notes/action items to appropriate individuals
-Coordinate the Chancellor’s correspondence to ensure timely response to internal and external letters, inquiries and mailings
-Protect confidential and sensitive information and use discretion when disseminating such information
-Manage itineraries and all logistics of domestic and international travel for the Chancellor and other executives as designated
-Process timely and accurate T&E expense reports for the Chancellor and other designated individuals
-Maintain accurate and completed records and documentation of all Chancellor’s Office transactions, including but not limited to procard and travel card transactions and purchase orders
-Monitor departmental expenditures and identify and resolve budget variances
-Manage the purchase approval process in accordance with all UMMS polices and procedures
