Facilitate all incoming private party inquiries for the Gristmill River Restaurant and Bar and convert acceptable inquiries to bookings applying knowledge of blackout times, seasonal peak times, holidays, minimum spend requirements, and all pertinent private party booking guidelines provided by Director of Operations and General Manager.
Respond in a timely and professional manner to all inquiries and requests no later than the next business day. Work with client to provide menu information and contracts promptly. Follow up with all party contacts within one week of scheduled event.
Maintain master reservation book. Log all proposed, tentative and confirmed groups into master reservation book. Follow up with all guest details and payment issues. Receive any deposits or prepayments and facilitate that information to the managers on the daily sheets and on the contracts.
Maintain monthly party calendar for managers for scheduling purposes. Communicate to managers weekly. Attend manager meetings when appropriate. Maintain daily party sheets and contracts in manager’s office for day-to-day use.
Maintain period-end report for all groups booked, revenue generated, as well as advanced booking reports.
Maintain regular contact with current client base, including Concierges.
Generate report for all coupons, mailers and promotional pieces redeemed
Work to increase and maintain client database. Maintain Press kits
Screening Gruene Hall party inquiries/ assist Marketing Manager in bookings.
Time (limited) spent on-site for Gruene Hall events and/or any parties that require extra attention.
Marketing to potential Molak Corp. Restaurants & Gruene Hall event prospects.
