As the Office Manager of Kargo's LA office, I coordinate and run the various functions of daily life at a young mobile advertising company. My top priorities are making sure that the office is running smoothly, staff are performing effectively, VP’s receive the support they need and the facilities are running in an orderly fashion.
Day-to-day responsibilities include:
Maintaining office operations, functionality and appearance.
Maintaining inventories of equipment and supplies, ordering and distributing as needed.
Establishing and maintaining relationships with vendors, acting as point of contact for IT teams, property management, maintenance and parking authorities.
Overseeing office space equipment maintenance (computers, printers, internet, phones, etc.)
Crisis management (spam on emails, IT network failure, equipment malfunction, etc.)
Processing ingoing and outgoing mail, UPS, USPS, and FedEx shipments.
Monitoring visitor access, providing courtesy card and parking cards to new tenants, temps, and interns.
In addition to the daily operational responsibilities, I am also support to the Executive, HR, Sales and Marketing teams:
Scheduling meetings and travel for VP’s
Managing expenses for VP's
Maintaining team and client travel, arranging all accommodations as needed
Tracking spending for sales and marketing teams
Assisting HR with setting up new employees with computers, equipment and accounts
Providing operational support to sales, marketing and accounting teams
Organizing, coordinating and executing client appreciation events
Working with partners and vendors to coordinate company participation in industry events around LA
Organizing National Sales Conference (including venue selection, travel arrangements for all attendees, lodging, entertainment, group activities, and transportation)
Marketing department's point of contact for LA office, coordinating with Midwest and East Coast offices regarding events, creative needs and marketing materials.
