Royal Horticultural Society

Operations Assistant - RHS Tatton 2013

Sole Operations Assistant during the build up, show days and breakdown of the RHS Tatton Flower Show 2013, reporting direct to the operations manager. Regularly working 12 hour days to ensure deadlines met and smooth operational experiences for all concerned.
During the month long build up I worked on site dealing with contractors and exhibitors on a daily basis via direct face to face contact as well as by telephone and emails. I also dealt with St Johns Ambulance and was responsible for the creation and monitoring of Accident Reports - both spreadsheets and documents.
I was in charge of all deliveries to the site and the ensuing invoices, with responsibility for all goods received and onward distribution across the site for both contractors and exhibitors.
I also had responsibility for authorising contractor passes and scheduling on-site access. As part of this I had to manage the logistics of a complex outdoor site where a large number of contractors required access with specialist equipment for a wide range of different specialist purposes.
During show days I was responsible for on-site checks which included reviewing the daily events and confirming plans, clearing the site of all vehicles by 9:30 am and making sure communications were operational. I was also the central point of contact for exhibitors, dealing with requests for services, facilities or equipment. This meant I was also the single point of contact for the support and service teams - plumbers, electricians, marquee erectors etc whose specialist services could be called upon at anytime.
A further responsibility was that of recording the daily cash flow of incoming monies and ensuring the appropriate receipts and invoices were generated including reference numbers and that daily and weekly tallies of all transactions were accurate.
