Proposal Operations Manager

As a member of IMG’s collaborative workspace, coordinates activities with IMG departments (Talent Acquisition and Management, Operations, Finance, Human Resources [HR], etc.) and works closely with Business Development (BD), Proposal Managers, and upper IMG management to analyze opportunities and allocate department resources to ensure all tasks are completed in a timely and efficient manner.

Attends all meetings to maintain situational awareness of upcoming proposal activities, including attending weekly Business Acquisition meeting, Department Head meetings, and Bid/No Bid decision briefs. Provides leadership to Proposal Team to ensure successful, on-time development of compelling, compliant, competent, and competitive proposals. Manages all proposal resources to ensure staff is available to support the business acquisition pipeline. Coordinates pre-proposal activities with the BD Team. Monitors solicitation developments (amendments, answers to questions, etc.), adjusting proposal resources as appropriate (depending on revised proposal outlines, schedules, etc.). Writes, reviews, and produces proposal content as needed in support of Proposal Managers. Copyedits proposal content-including reviewing for compliance, accuracy, and completeness. Responsible for collecting, maintaining and updating past performance library, proposal boilerplate content and templates, and department administration documentation. Maintains SharePoint portal and ticketing system to track and manage department activities and resources. Maintains metrics on all Proposals, RFIs/SSNs, and miscellaneous tasks supported by response department to support operational consistency and staffing levels. Provides interdepartmental support on an as needed basis, including a variety of special projects. Develops and maintains department processes, policies, and work instructions. Tracks department issues and ideas for improvement and facilitate resolution.

Proposal Coordinator

The Proposal Coordinator role is designed to support the Proposal Operations Manager (POM) in scheduling and assessing proposal team resource requirements (personnel and materials) for proposal preparation and production, responses to data calls, writing/editing support for other IMG departments, as well as special projects.

Additional responsibilities include: maintaining schedules and tracking milestones for all proposal department projects; providing proposal support, to include research, writing, editing, document production [formatting, layout, copying, printing, etc.]; providing process maintenance/improvement and department administration support.
