As part of the Apprenticeship contract I am responsible and manage all administrative aspects of each PTS Apprenticeship in line with contractual and Company guidelines. I ensure effective completion of all contractual paperwork across all contracts, with appropriate error rating as evidenced through internal and external audit of contracts. Input to management report as necessary on a monthly basis.
This involves the development and management of a database system. I make H&S vetting requests according to company standards to the relevant H&S team and collate Starter packs and maintain a minimum amount are readily available. I ensure all documentation meets contract requirements and is passed to the Quality Audit team. I monitor Apprentice Review target dates log and issue relevant documents to assessors and update system accordingly.
I register all eligible learners with the Awarding Body and manage all test dates and ensure availability of the test centre, maintaining communications with the learner, employer and assessor as necessary. I complete the certification process for each aspect of the Apprenticeship programme and liaise with the Awarding Body accordingly. Upon full Apprenticeship programme completion I make the necessary final SFA/Awarding Body claims. This also involves completing Exit documentation in a timely manner as per contractual compliance and support SFA and PTS learner/employer surveys as required.
Throughout I provide cover for colleagues as appropriate and ensure compliance with the company's policies and procedures are maintained at all times with particular emphasis on Equal Opportunities & Diversity, SVG, and Health & Safety. Liase with EO, SVG and H&S advisors accordingly and maintaining company confidentiality at all times with contractual compliance
