As part of the Apprenticeship contract I am responsible and manage all administrative aspects of each PTS Apprenticeship in line with contractual and Company guidelines. I ensure effective completion of all contractual paperwork across all contracts, with appropriate error rating as evidenced through internal and external audit of contracts. Input to management report as necessary on a monthly basis.

This involves the development and management of a database system. I make H&S vetting requests according to company standards to the relevant H&S team and collate Starter packs and maintain a minimum amount are readily available. I ensure all documentation meets contract requirements and is passed to the Quality Audit team. I monitor Apprentice Review target dates log and issue relevant documents to assessors and update system accordingly.

I register all eligible learners with the Awarding Body and manage all test dates and ensure availability of the test centre, maintaining communications with the learner, employer and assessor as necessary. I complete the certification process for each aspect of the Apprenticeship programme and liaise with the Awarding Body accordingly. Upon full Apprenticeship programme completion I make the necessary final SFA/Awarding Body claims. This also involves completing Exit documentation in a timely manner as per contractual compliance and support SFA and PTS learner/employer surveys as required.

Throughout I provide cover for colleagues as appropriate and ensure compliance with the company's policies and procedures are maintained at all times with particular emphasis on Equal Opportunities & Diversity, SVG, and Health & Safety. Liase with EO, SVG and H&S advisors accordingly and maintaining company confidentiality at all times with contractual compliance

Contract Coordinator

I coordinated delivery of the Adult Education contract including all administration and implementation of the courses. I liaised with Educational leads at Gloucester County Council and worked closely with staff to coordinate start and end dates for all AdEd courses.

Ensured all client learner logs are completed at the beginning, during and at exit of course and attended the first and last lesson of the courses to ensure timely completion of paperwork, feedback forms, of which tutors were to inform me of early leavers.

I regularly sent CRARFs and CSFs to Adult Education as soon as course was completed. Attended contract review meetings and any relevant training. Promoted and enrolment of the courses across Gloucestershire.I ensured tutors were fully trained to deliver AdEd courses by attending the relevant training provided.

TEAIS Contract Administrator

I processed training provider TEAIS referral forms in a timely manner and contacted employer and assisted them with completion of all contractual paperwork as necessary via website, post and telephone. Regularly contacted training providers to seek confirmation that each apprenticeship remained on programme and with initial employer.

Monitored and maintained regular contact with each open application and progress through to payment. All approved applications were to be passed for secondary quality checks on a weekly basis. I managed, input and monitored data on the TEAIS database for all applications whilst maintaining employer data on a database in an accurate and timely manner. Throughout the contract I managed each TEAIS application from start to finish and all relevant communication with employers and training providers.
